Membership Coordinator – Full time onsite, great benefits!
Wisconsin Youth Symphony Orchestras (WYSO) is seeking a customer focused, detailed minded Membership Coordinator. In this role, you will be supporting the daily operations of WYSO, focusing on organization, communication, and providing excellent customer service for families, members, volunteers, and donors. This is a full time onsite, internal and external facing role. The schedule is Tuesdays – Saturdays during the school year and Mondays – Fridays during the summer. Your contributions will include:
- Serving as the point person for orchestra members and families during Saturday rehearsals.
- Assisting membership with any questions or issues that may arise.
- Monitoring general email and assisting with website updates.
- Coordinating with Director of Facilities and the Administrative Assistant regarding entering and updating member data in our database.
- Tracking attendance and sharing reports with conductors and coaches.
- Supporting auditions and recruitment efforts.
- Preparing time sheets for private teachers.
- Supporting the scholarship application and award process.
- Attending staff, committee, and board meetings, as needed.
- Assisting with preparing the annual budget.
- Assisting leaders, teachers, and coaches with other duties as needed.
- Leading the family fundraising efforts.
- Finding support from parents.
- Leading fundraising and other events.
- Planning event sales and donations.
- Formatting and populating the Musical Notes landing page and peer-to-peer fundraising efforts.
- Recording, tracking, and acknowledging donations.
- Working with the Parent Leadership Committee (PLC) on volunteer planning and coordination
- Helping schedule and support PLC meetings and activities.
- Communicating regularly with volunteers and helping to organize special events.
- Supporting all WYSO benefit events.
- Coordinating with facilities to ensure proper scheduling and set up for events.
- Working with management and WYSO staff on ad-hoc office assistant requests.
To be successful in this role, you will bring:
- High School diploma is required. Bachelor’s degree or equivalent experience is preferred.
- Minimum 1-2 years of experience working in an office environment is required.
- The ability to work well with others and communicate effectively with external partners, members, and families is required.
- Experience in events and volunteer management is preferred.
- Demonstrated ability to be organized, stay on task, and produce results is required.
- Strong proficiency Microsoft Office and Google Workspace are required.
- Excellent attention to detail is required.
- Ability to be dependable in punctuality, attendance, and work results is required.
- Ability and willingness to work Saturdays and attend WYSO events is required.
- Basic musical knowledge of various instruments is a plus.
- Ability to read, write, and speak English is required.
- The ability to lift and move items up to 25 lbs. This position requires the ability to sit, stand, and work at a computer for extended periods.

Administrative Assistant – Full time on-site, great benefits!
Wisconsin Youth Symphony Orchestras (WYSO) is seeking a customer service focused Administrative Assistant with a knack for numbers and operations. In this role, you will support the financial, administrative, and development operations of the organization. This is an internal and external facing role. Your contributions will include:
- Serving as the first point of contact for all WYSO visitors in a receptionist capacity.
- Managing tuition, scholarship, and program invoicing and collection.
- Ensuring WI Department of Financial Institution filings and licenses are current.
- Recording all donations.
- Creating and maintaining donor records as needed.
- Supporting alumni research.
- Assisting with day-to-day financial data entry and processing in accounting software.
- Supporting the tracking and reconciliation of organizational expenses and credit card transactions.
- Helping compile and review monthly financial reports and documentation.
- Assisting with vendor payments, banking tasks, and general bookkeeping activities.
- Helping to maintain compliance with financial policies, including documentation for tax-exempt status and year-end reporting (e.g., 1099s).
- Assisting with preparing the annual budget.
- Scheduling and coordinating meetings for Leaders.
- Assisting Director of Operations and other Leaders with other financial ad-hoc duties.
- Assisting in communicating with and preparing materials for board and committee meetings.
- Managing Board and committee meetings and calendars.
- Attending staff, committee, and board meetings, as needed.
- Managing membership registrations and supporting families.
- Assisting with payroll and benefits.
- Maintaining and updating organizational databases and CRM systems.
- Maintaining and ordering office supplies, break room needs, and other items as needed for the office and staff.
- Processing mail and data reporting.
- Managing incoming and outgoing shipments, including preparing shipping labels and documentation.
- Working with WYSO staff as well as outside partners and vendors with ongoing miscellaneous projects to achieve goals.
- Supporting all WYSO benefit events.
- Working with management and WYSO staff on ad-hoc office assistant requests.
To be successful in this role, you will bring:
- High School diploma required. Bachelor’s degree or equivalent experience preferred.
- Minimum 1-2 years of experience working in an office environment is required.
- Experience in nonprofit operations, development, or finance experience is preferred.
- Demonstrated ability to be organized, stay on task, and produce results is required.
- Strong proficiency Microsoft Office and Google Workspace are required.
- Proficiency in QuickBooks skills is preferred.
- Basic Accounting skills specific to data entry, accounts payable, bank reconciliation, credit card reconciliation are preferred.
- Excellent attention to detail is required.
- Ability to be dependable in punctuality, attendance, and work results is required.
- Basic musical knowledge of various instruments is a plus.
- Ability to read, write, and speak English is required.
- Ability to work well with others and communicate effectively in an interoffice environment and with external partners is required.
- This position requires the ability to sit, stand, and work at a computer for extended periods.
